Website Privacy Policy

How Prajna collects, uses and protects your personal information.

Effective from 10 September 2026

1. Our commitment

Prajna Inclusive Special School respects your privacy. This policy explains what personal data we collect through this website, why we collect it, how we protect it, and the rights you have over it under the Digital Personal Data Protection Act 2023 and the Information Technology Act 2000 with its allied rules.

For the purposes of that Act, Prajna is the Data Fiduciary. You, the person whose data we hold, are the Data Principal.

2. What we collect

We collect only what we need for the purpose you contacted us about.

  • Enquiry form: your name, email address, phone number, the purpose of your enquiry, and your message.
  • Donation: your name, email address, phone number, donation amount, and — only if you request an 80G receipt — your PAN and postal address.
  • Payment data: handled entirely by our payment gateway. We receive confirmation of the transaction and a reference number; we never see or store your card, UPI or netbanking credentials.
  • Technical data: standard server logs such as IP address, browser type and pages visited, used to keep the site secure and working.

3. Why we use it

  • To reply to your enquiry and, where relevant, arrange a visit.
  • To process your donation, issue a receipt, and maintain the donation records the trust is required to keep.
  • To meet obligations under the Income Tax Act 1961, including reporting donations where required.
  • To send occasional updates about Prajna's work, only if you have asked to receive them. Every such message includes a way to opt out.
  • To keep the website secure and to investigate misuse.

4. Consent

We collect your data on the basis of the consent you give when you submit a form, and we use it only for the purpose stated at that time. You may withdraw consent at any time by writing to us; withdrawal does not affect processing already carried out, and we may still need to retain donation records to meet statutory obligations.

5. Who we share it with

We do not sell, rent or trade your personal data. We share it only where it is necessary:

  • Razorpay Software Private Limited, our payment gateway, to process donations.
  • Our auditors and the Income Tax Department, where donation records must be reported or examined.
  • Service providers who host this website and its database, under confidentiality obligations.
  • Any authority to whom disclosure is required by law or a court order.

6. How long we keep it

Enquiry messages are retained for up to three years and then deleted. Donation records, including 80G receipt details, are retained for at least eight years as required for tax and audit purposes. Server logs are retained for up to 12 months.

7. How we protect it

The whole website is served over HTTPS. Donor and enquiry records are stored in an access-controlled database, readable only by authorised Prajna staff through a password-protected administrative area. Passwords are stored only as one-way cryptographic hashes. These measures are intended to meet the reasonable security practices expected under the IT (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules 2011.

8. Your rights

Under the Digital Personal Data Protection Act 2023 you may:

  • Ask what personal data we hold about you and how it has been used.
  • Ask us to correct or complete inaccurate data.
  • Ask us to erase your data, where we are not required by law to keep it.
  • Withdraw consent for future use of your data.
  • Nominate another person to exercise these rights on your behalf in the event of your death or incapacity.
  • Raise a grievance with us, and escalate to the Data Protection Board of India if you remain dissatisfied.

9. Children's data

Prajna works with children, and we treat their information with particular care. Photographs, videos and stories of children are published only with the written consent of a parent or guardian, and we maintain a consent record for each child. Consent may be withdrawn at any time, and the material will be removed from this website promptly on request.

This website is not directed at children as users, and we do not knowingly collect personal data from a child through it.

10. Cookies

This website does not use advertising or tracking cookies. Cookies are used only where they are necessary for the site to function — for example, to keep an administrator signed in to the content management area.

Grievance redressal
